We are a private family office overseeing a diversified, cross-border real estate portfolio across Asia. We are looking for a Facilities & Operations Lead to drive the day-to-day operations of our Singapore portfolio.
This role plays a key part in ensuring smooth operations, timely execution, and strong coordination across tenants, vendors, and internal stakeholders. You will be the central point of contact on the ground, maintaining operational continuity and ensuring nothing falls through the cracks.
This is a hands-on, mid-level position suited for someone who is highly organised, resourceful, and comfortable working independently within a lean team environment.
Key Responsibilities:
Tenant & Operational Management
- Act as the primary point of contact for tenant matters, including requests, access arrangements, and issue resolution
- Ensure timely follow-up and consistent communication to maintain strong tenant relationships
- Manage contractors and service providers, including sourcing quotations, tracking contracts, and overseeing renewals
- Monitor vendor performance to ensure quality and timeliness of service delivery
- Maintain accurate and well-organised records of leases, side agreements, insurance policies, and warranties
- Track key dates and obligations to ensure compliance and minimise risk
- Prepare monthly property management reports
- Maintain and update tracking tools for lease expiries, maintenance schedules, and other key metrics
- Coordinate tenant fitouts, reinstatement works, handovers, and defect rectification
- Liaise with tenants, contractors, and building management to ensure smooth execution
- Provide coordination and documentation support for acquisitions and disposals
- Assist with data room preparation and information collation during transactions
- Provide first-line troubleshooting for operational and infrastructure-related issues (e.g. connectivity, devices, basic systems)
- Ensure business continuity through prompt resolution or escalation to external vendors when required
- At least 5 years of relevant experience in property management, facilities management, or real estate operations
- Proven ability to manage multiple stakeholders across tenants, contractors, and internal teams
- Strong organisational skills with high attention to detail and follow-through
- Comfortable operating in a lean, fast-paced environment with a high level of ownership
- Hands-on and practical, with a willingness to be on-site to resolve issues when needed
- Basic technical troubleshooting skills (e.g. connectivity, device setup, coordination with IT vendors) are advantageous
